Job Summary

This position exists to perform advanced facilities administrative support and assistance to Minnesota Pollution Control Agency (MPCA) staff and visitors. This position will coordinate and purchase service/retirement/recognition awards, print service certificates along with manage vendor purchase orders and approve vendor invoices for payment; print and distribute agency business cards; maintain agency preferred title database; assist with U.S. Postal mail distribution, agency shipping and receiving, print large copy jobs and triage facility maintenance requests. This position will assist the Fleet Manager with fleet coordination that could include transporting vehicles for scheduled maintenance and repairs, moving vehicles in parking lots as needed, inflating tires, charging batteries, driving vehicles to gas station to fill gas tank and take vehicle through car wash. The incumbent will provide back-up support to other areas of the Facilities Support Unit such as the front desk and answering the main line telephone.

Qualifications

Minimum Qualifications

Typing/keyboarding skills with proficiency in word processing software such as Microsoft Word and other computer software sufficient to produce letters, legal documents, and reports correctly and efficiently.

Customer service skills sufficient to serve the members of the public and internal staff and management in an effective and courteous manner.

Basic principles, practices and techniques of database management sufficient to carry out administrative tasks and compile accurate information.

Ability to communicate with others and understand information.

Human relations skills sufficient to maintain good working relationships with agency staff and external customers.

Possess a valid Driver's license (see additional requirements).

Preferred Qualifications

Working knowledge of Microsoft products, Tempo & OnBase software.

Ability to work independently on projects and actively participate as a team member.

Ability to set priorities and organize work in order to carry out daily tasks and meet established timelines.

Excellent problem solving and analytical skills.

Excellent communication skills including listening skills.

Working knowledge of the policies and procedures of the United States Postal Service and Central Mail.

Physical Requirements

With the use of equipment, requires daily and frequent transport of items such as file boxes and other materials typically weighing 50 pounds.

Additional Requirements

This position requires successful completion of the following:

A driver's license is an essential function of this position. This requires possession of an unrestricted Class D Driver's License. The job offer is contingent on confirmation of a valid driver's license AND a satisfactory driver's license record check. Requires a Class D driver's license: a single unit vehicle with a gross vehicle weight of less than 26,000 pounds. This is a basic driver's license.
